Scheduling/Completing Activities for multiple Contacts

Is there a way to schedule/complete an Activity (meeting) for multiple Contacts?  If I go to a conference where there are 10 clients, I do not want to have to complete an activity individually for all 10 people.

 

When creating a meeting, there is a tab for members, but this appears to be only for those internal users with a login, not for ALL contacts within the database.

 

Any ideas???

The follow presumes you are talking WIndows/LAN (not web):

  A - Yes you CAN do a "Complete Activity" for more than one (Contact) at the same time:

       1 - Click on the Activities icon in the (NavBar) and select the appropriate tab

       2 - Do a Shift-click (or ctrl-click) and select all the open Activities you want to complete

       3 - RMB and pick "Complete Activity..."

       4 - Fill in the info - click OK

       5 - Done!

 

 B - You are correct that OOTB you CANNOT schedule a meeting for more than one contact at a time. Some of us BP's have made custom changes to Activities to be able to create multiple activities (associated with different Contacts) at once. Unfortunately, the place it really needs to be done is in what we call "hard-code". The source to this has never been exposed to anyone (not even BP's) . FYI - This is a "feature request" that goes back at least 10 years (I requested it when I was a CIO/customer ;-). For some reason it has just not made the top of the list for Windows/LAN.

Workaround for Web Client - create a group of the desired contacts, Write/Mail Merge, Blank Letter, Output to File; on History tab, uncheck Add History and check Schedule Followup.

Perhaps I need to add a bit more detail... I am running on the Web version.  I would like to do the following example...

1.  Create an Activity called: Agent Event at the Marriott for 3/1/11

2.  At the next screen where you put in the details of the meeting, you need to select (a) Contact.

3.  I would like to be able to select multiple contacts for this one Activity.

4.  This way, when I complete this Activity, it will be recorded in each Contact's history.

 

Does this make sense?

You will have to custom code it.

So, my question to Sage is WHY?

  • Why is it that 1 of my top 5 user requests for years remains: How do I associate multiple Contacts to a Meeting?
  • Why is it that your BPs have not been able to convince you for 10 years that a critical functionality is missing?
  • Why is it that competitors like Microsoft and salesForce accommodate this real world need but Sage does not?
  • Why is it that you don't contribute to some of the tougher issues in this forum?
  • Why is it that your customers and BPs ask, but you don't appear to listen?

Hey Larry,

 

I am in the same boat as you are on the question why.

 

I have been on this forum for over a year now and seen a lot of great ideas put forth by users and BP's to enhance this product, but I do not see any movement beyond the idea, even when the execution steps and feedback from other users is documented right here for them to review.

 

While cloud computing is the big push from Sage to attract more clients (from what I can tell), keeping existing clients should also be on the forefront of their view to enhance the overall product they offer, which is something I am starting to not see anymore.  I would like to see greater transparency from Sage as to what their overall plan is to achieve this.

I suspect that when there is another way to achieve the result, they feel less pressure to make it work the way you'd like. Yes, it would be good if the New Activity dialog (and many other similar dialogs) in the Web client would allow multi-select... but if the goal is to get the same activity scheduled for multiple contacts, you can make that happen with Mail Merge.

Here's the thing: we're not using the Web Client so we have no workarounds. And if Sage thinks they can ignore the client base that helped get them where they are, well in our case, they're wrong. If we are going to expend energy migrating to Web it will be Microsquishes' not Sage's. And if Sage is someday squished out of the CRM space it will be their own undoing, not Microsoft's. Success for this Sage does not require reading the tea leaves, it only requires reading (and responding) to the posts and FRs (i.e. demonstrating to their customers that they're listening and not just spending their energy trying to keep up with the Ballmers' and Benioffs').

I completely agree, especially if this has been a common request for so long. However, in the LAN client, can you not also use the same workaround by creating a group with the desired contacts, then Write/Mail Merge as above?
